Scope

This Privacy Policy explains how WELCOMEHEΛLTH collects, uses, shares, and retains personal data when you use the public website, article pages, contact forms, service enquiries, care guide, account access, billing-linked flows, signed-in family dashboard callback requests, and profile workspace features.

This policy should be read with the Terms of Use. Some paid, profile, document, billing, or care coordination features may also show more specific notices or consent language at the point where information is collected.

Healthcare-adjacent service

WELCOMEHEΛLTH is not a medical advice, diagnosis, treatment, medication-adjustment, or emergency-support service. Public forms and the care guide are for non-urgent service support, article guidance, and follow-up routing.

Data we collect

The personal data we collect depends on the feature you use.

  • Public website and articles: pages visited, article and topic pages, search or browse activity, saved article identifiers stored in your browser, and basic public page analytics where analytics is enabled.
  • Contact forms, service enquiries, and family dashboard callback requests: name, email, phone number, city, preferred contact details, consent to contact, and short notes you submit for follow-up.
  • Care guide: your message, conversation identifier, answer metadata, source references, intent, confidence, safety status, redacted message and answer excerpts, masked IP scope, and hashed visitor or user-agent values.
  • Accounts and access: email address, credential and token state, OTP state, session records, password reset records, account status, paid-access mode, login activity, and security settings used for account access.
  • Profile workspace and care operations: profile details, family contacts, workspace status, tasks, care planning records, care coordination records, care team messages, medication support records, visit logs, documents, reports, and family dashboard data when those features are used.
  • Billing and payment-linked records: plan selection, order and payment identifiers, payment status, subscription or renewal state, plan-change requests, refund-review records, provider refund identifiers and statuses, billing follow-up records, and support notes for payment-linked account access.

How we use data

We use personal data for practical service, safety, security, and account purposes.

  • Provide article discovery, search, saved article behavior, and public website navigation.
  • Answer service, article, account, login, signup, and family dashboard questions through the care guide.
  • Receive contact, pricing, service enquiries, and signed-in family dashboard callback requests and route them for team follow-up.
  • Create and manage public accounts, profile workspaces, family dashboard authorization, documents, and care coordination records.
  • Process payment-linked profile activation, billing status, renewal state, plan changes, refund review, and billing support follow-up.
  • Protect the service from abuse, duplicate submissions, unauthorized access, operational failures, and security issues.

Care boundaries

WELCOMEHEΛLTH may help with preventive-health reading, family coordination, service follow-up, appointment logistics, and operational care support where those features are available.

The care guide is not a diagnostic engine. It should not be used for diagnosis, treatment decisions, medication changes, urgent symptoms, or emergency decisions. If a situation may be urgent, contact local emergency services or a qualified healthcare professional.

Public contact forms should not be used to send medical records, urgent health details, OTPs, passwords, payment instrument details, or other sensitive information unless a specific secure workflow asks for it.

Sharing

We share information only where needed to operate the product, provide follow-up, support accounts, process payment-linked workflows, protect the service, or meet legal and operational requirements.

  • AWS services are used for hosting, database, document storage where configured, operational logs, transactional email, and model-assisted responses where enabled.
  • Amazon Cognito is used for admin authentication where the Cognito admin flow is configured.
  • Razorpay is used for payment handling, subscription checkout, renewal state, and provider-backed refunds where a refund is approved after review.
  • Google Analytics is used only for approved public page visit telemetry and is not used for form contents, care guide messages, health-related text, account identifiers, payment details, or document metadata.
  • The team may share information internally where needed to answer an enquiry, support an account, operate a profile workspace, review billing follow-up, or review a refund request.

Cookies and analytics

Google Analytics may place or read cookies or similar browser identifiers when you visit selected public, unauthenticated pages. Analytics is used to understand basic website usage, such as public page visits and article traffic, so the site can be improved.

Analytics is not enabled on this privacy page, the Terms of Use page, account flows, admin tools, profile or family dashboards, billing or checkout pages, API routes, or pages that handle sensitive healthcare-adjacent data.

WELCOMEHEΛLTH does not send form contents, care guide messages, health-related text, contact details, payment details, document metadata, account identifiers, or session identifiers to Google Analytics.

Retention

Records are kept only while tied to a service, security, account, billing, audit, operational, dispute, tax, legal, or retention reason.

  • Public enquiry and callback records are kept while they are useful for follow-up, duplicate control, abuse review, and operational review.
  • Care guide logs keep redacted excerpts and operational metadata rather than using raw transcripts as the follow-up record.
  • Account, profile workspace, document, care coordination, billing, plan-change, and refund-review records are kept while needed to provide the service, support account access, review billing, process approved refunds, and preserve required operational evidence.
  • Unpaid accounts may be deleted through an admin review workflow. Paid or payment-linked accounts use an anonymization path when eligible because billing, refund, dispute, tax, or audit evidence may need to be retained.
  • Backups and system records may retain copies until their normal lifecycle ends.

Your requests

For privacy questions or requests, contact us with the email address or phone number you used with WELCOMEHEΛLTH and the type of request you want reviewed. Do not include medical records or unnecessary health details in the first message.

  • Ask what information is associated with your email address or phone number.
  • Ask us to correct information you believe is inaccurate.
  • Withdraw consent for future contact where the processing depends on that consent.
  • Ask us to review deletion or erasure where the information is no longer needed for service delivery, account access, billing, refund review, security, dispute, audit, tax, or legal reasons.

We may ask for more information before acting on account, family, profile, document, billing, refund, or another person's records.

Representatives and family data

If you provide information about a family member, senior, caregiver, patient, dependent, or another person, you are responsible for having the right authority or consent to share that information and to request action on that person's behalf.

We may require additional verification before disclosing, correcting, deleting, exporting, suppressing, or changing access to another person's profile, care, document, billing, or family dashboard records.
